As a Document Controller / Administrator at dpa, you will play a crucial role in ensuring the efficient management and organization of project documentation, enabling our team to deliver high-quality lighting solutions. You will be responsible for maintaining accurate records, coordinating document workflows, and supporting administrative tasks to keep projects on track and within budget.
Key Responsibilities:
Document Control:
- Establish and maintain an organized and accessible document filing system.
- Receive, log, and distribute incoming project documents, including drawings, specifications, contracts, and correspondence.
- Ensure documents are accurately labeled, versioned, and filed according to company standards.
- Monitor document change requests and track revisions to ensure accuracy and completeness.
- Collaborate with project teams to manage document review and approval processes.
Administrative Support:
- Assist in scheduling and coordinating meetings, appointments, and project milestones.
- Prepare and distribute project status reports and updates to team members and clients.
- Support procurement activities by tracking orders and maintaining supplier documentation.
- Handle general administrative tasks such as data entry, correspondence, and phone/email communications.
Communication:
- Act as a liaison between project teams, clients, and external partners, facilitating the exchange of project-related information.
- Maintain clear and open lines of communication regarding document status and project progress.
